How to check payment for a business trip

If your payslip after a business trip is lower than expected, first separate salary for working days from per diems and expenses. Then compare average daily and current daily earnings and check which base payroll used.

What you should know

  • For business-trip working days, use the higher of two figures: average daily earnings or daily earnings for the travel month.
  • The average is generally based on the two calendar months before the trip month and days actually worked.
  • Current daily earnings include all eligible salary components for the month divided by scheduled working days.
  • Per diems, travel, and accommodation are checked separately; they do not replace pay for work performed.
  • Do not add a bonus mechanically: the payment method and employment or collective agreement matter.

When to check

Use this guide when a trip order exists but the payslip shows an unclear amount for trip days, labels them as average earnings without a comparison, or combines them with per diems. In Kyiv companies, a separate complication arises when an employee is attached to a capital-city office, works remotely from the region, and has the trip arranged by central payroll. The employer, permanent workplace, order, and schedule determine the calculation; the destination city alone does not.

Start with the business-trip pay calculator. It does not determine which payments are included, but helps identify the higher daily base and any arithmetic difference from the amount accrued.

Applicable period and procedure

Under Article 121 of the Labour Code, work on a business trip is paid under the employment or collective agreement, but not below average earnings. In practice, calculate the average daily figure under Procedure No. 100, calculate daily earnings for the trip month separately, and then use the higher figure.

The basic calculation period for the average is the two calendar months before the month the trip begins. Divide payments by working days actually worked. If there were no such days or the employee has worked for less than two months, do not enter zero: Procedure No. 100 provides fallback rules that must be applied separately.

Current daily earnings include all eligible salary components for the travel month divided by the working days in the schedule. If the trip continues into the next month, split it because the monthly base can change.

Steps to take

Ask the employer for the order, schedule, timesheets, and payslips. For the preceding two months, list only payments allowed under Procedure No. 100 and days actually worked. Do not use total bank deposits: they may include sick pay, vacation pay, or reimbursements that need separate treatment.

For the trip month, list every eligible salary component. Check base salary, supplements, allowances, indexation, and bonuses. According to State Labour Service guidance dated 2 February 2026, a bonus depends on how trip days are paid and on the agreement, so do not automatically count it twice.

Count trip working days using the schedule for the permanent workplace. If the trip included night work or documented overtime hours, keep them out of the daily amount: each has its own formula and records.

Compare the calculator result with gross accrual for those days. If there is a difference, send payroll a written request with a table of input data and ask it to explain each base.

What to check before submitting

Make sure your employer issued the order and that the schedule belongs to the permanent workplace. Within a corporate group, the Kyiv office, regional branch, and legal entity may have different roles; address the request to the employer identified in the records.

Separate four items: salary for working days, per diems, travel and accommodation reimbursement, and special supplements. For a general arrears dispute, use the guide to unpaid wages and a monthly table of accrued and paid amounts.

If no work was performed in preceding months, pay is piece-rate, there is a special status, foreign currency is involved, or the schedule is mixed, a standard calculator does not replace an individual payroll and legal calculation.

When to consult a lawyer

A legal review is useful if the employer withholds timesheets, a bonus depends on disputed figures, the trip covered several months, or it included night, overtime, or weekend hours. Seek help as well if an expense reimbursement was called salary or per diems were used to cover pay for work performed.

For a dispute in Kyiv or Kyiv Oblast, a lawyer can check the proper employer, accrual structure, written request, and possible court route. A calculator gives an arithmetic reference; the order, agreements, schedule, timesheets, and payslips are the evidence.

Risks

Common mistakes

  • Comparing the total card transfer without separating salary, per diems, and expense reimbursement.
  • Dividing payments by calendar or scheduled days instead of days actually worked in the calculation period.
  • Using only the base salary for the travel month and ignoring eligible supplements, allowances, indexation, or a bonus.
  • Calculating a trip across two months as one block even though the current daily base can differ by month.
  • Applying the basic formula automatically when no days were worked or to a civil-law contract.

Frequently asked questions

Frequently asked questions

Can a business trip be paid only at average earnings?

First compare average daily earnings with daily earnings for the trip month. If the current daily figure is higher, pay is governed by the agreement; if lower, the guarantee prevents payment below the average.

Are per diems part of salary for business-trip days?

No. Per diems and documented travel and accommodation expenses are separate guarantees and reimbursements. They cannot replace payment for work performed.

How do I check the bonus for the trip month?

Check the bonus policy, employment or collective agreement, and the daily base actually applied. Official 2026 guidance distinguishes bonuses when days are paid at the average from those paid at the current daily rate.

What if the trip covered two months?

Allocate working days between the months and check each month separately because working-day counts and current-month salary components can change.

Where should I turn if a Kyiv employer does not explain the calculation?

First send the employer a written request for payslips and the formula. For a dispute, keep the order, timesheets, schedule, response, and bank statement; the specific court route depends on the parties and venue.
