Calculator for pay for business-trip days
Were you on a business trip from a Kyiv office or a company in the region? Enter payments and days actually worked in the two previous calendar months, all salary components for the business-trip month, and scheduled working days. The calculator selects the higher daily base and shows a preliminary gross amount, excluding per diem and expense reimbursement.

Preliminary calculation of business-trip pay
Version 1 applies to a business trip within one month when the two-month calculation period contains days actually worked.
Enter only payments included in average earnings under Procedure No. 100, before taxes.
These are not calendar or scheduled days; use the actual working days worked in the calculation period.
Salary, additional payments, allowances, indexation and bonuses due under employment or collective agreement rules.
Use the schedule at the employee’s permanent workplace from which they were sent on the business trip.
Working days only, under the same schedule. For a business trip two months away, calculate each period separately.

How pay for business-trip days is compared
Article 121 of the Labour Code requires work performed on a business trip to be paid under the employment or collective agreement, but not below average earnings. It is therefore not enough simply to maintain the salary or automatically use the average: the two daily figures must be compared.
In the standard case, average daily earnings are based on payments for the two calendar months before the business-trip month and the days actually worked in them. Current daily earnings are based on all salary components for the business-trip month and the working days in that month under the schedule.
The bonus requires review of its accrual rules. Official guidance from the State Labour Service dated February 2, 2026, specifically cautions that the outcome depends on whether the days were paid using average or current daily earnings and on the terms of the employment or collective agreement.
Calculation methodology
Preliminary calculation methodology
- We identify the two full calendar months before the month of departure and include only payments eligible under Procedure No. 100.
- We divide them by the actual days worked, without intermediate rounding.
- Add all salary components due for the business-trip month and divide by the working days under the schedule.
- We compare exact fractions by cross-multiplication and apply the higher daily amount.
- Multiply it by the working days on the business trip, round the final amount to the nearest kopeck, and subtract the pay already accrued.
Business trip example from a Kyiv office
An employee of a Kyiv company is owed UAH 120,000 in payments and actually worked 40 days during the two preceding months. In the business-trip month, full salary components total UAH 60,000 for 22 working days. The trip covers 5 working days, and UAH 13,000 has already been accrued.
- Payments for two months: UAH 120,000 and 40 days
- Business trip month: UAH 60,000 and 22 working days
- Business trip: 5 working days
- Already accrued: UAH 13,000
Average daily earnings: UAH 3,000; current daily earnings: UAH 2,727.27. The average applies: UAH 15,000 gross is due, with a possible shortfall of UAH 2,000.
The example is valid only if the payment components and number of days are confirmed by the order, timesheet, schedule, and payslips.

Frequently asked questions
Why does the calculator compare two daily amounts?
Because Article 121 of the Labour Code does not allow business-trip workdays to be paid below average earnings, although the current daily earnings under the contract may be higher.
Are per diems included in the field for pay already accrued?
No. Per diems, travel, and accommodation are separate guarantees and reimbursements. Enter only gross wages accrued for those same business-trip workdays.
What to do if the business trip spans two months?
Separate working days by month and make two calculations because current salary components and the number of working days under the schedule may differ.
Can a bonus be included in the business-trip month?
Only after checking the bonus policy, employment or collective agreement, and method of paying for business-trip days. Do not mechanically add the bonus to both bases.
Is the calculation suitable if no work was performed in prior months?
No. Fallback rules under Procedure No. 100 apply: prior months of work or the rate or salary. This version deliberately stops this scenario.
